Job Status and progressions

A job must always have a status - such as "Potential", "Scheduled", "Active" - you system may be configured with any number of custom statuses.

  • The current status is easily visible as it has a colourful background.
  • The previous statuses the job has been through are shown to the left of the current one.
  • To the right you will find some progression options. Clicking one will update the status of the job and may trigger some additional actions.

Components in the workflow

Once a workflow has been added to a job, the components (or services) of that workflow will be listed in the left-hand column of the View Job screen.

Click the name of a component to view it.

The colour of the component icon identifies its status:

  • Purple indicates the component is Pending.

  • Green = active

  • Pink = paused

  • Blue = complete
  • Grey = inactive

To consume budget against a component, staff must create activities for a component.

Budget & Work

To the right of the activity graph you will find the budget and work progress tracker.

The budget simply shows the value of the time logged so far against the total job budget.

The progress bar is more advanced; it shows hours logged against the hours logged plus estimated time remaining from all the tasks on the project. Any time that has been logged directly against the project will be displayed above the components menu as '12h 33m work logged with no component'. This will help you understand the budget and work graph as it includes these values.

Note that staff need to log billable time to consume the budget.

 Adding activities against the job, rather than a component, will still consume the service budget, according to staff rates. If you approve this time and then proceed to job invoicing, you will see that this time can be invoiced from a general job line item. However, the best practice is to relocate these activities against the most appropriate component using the "Approval" feature.

Schedule tab

The Schedule tab (from the tabs in the middle of the View Job screen) provides a Gantt chart-like view of the componenst for a job. You can quickly see where a component is scheduled to begin, its duration, due date, as well as pre-requisites (dotted blue lines).

Importantly, weekends are not counted in the components duration – so if you create a component to start on Monday, and be finished the following Friday, its duration would typically be 10 days.

  • Mouse over the graph to view the estimated dates for a component.
  • If a star is present for a component, it represents the due date.
  • Components that exceed their duration will have that section displayed in red.

Detail tab

This tab displays standard details about the job, as well as any custom details/fields related to that job type. Most fields are not displayed if they have no value entered. Editing the job will reveal a full list of fields applicable to a job.

History

The history of statuses can be found along the progression ribbon on any particular job. Simply hover the mouse over the progression status and it will display information on who modified it and when. This allows you to review the status changes which the job has gone through, with the most current status change displayed in colour.

Contributors tab

The contributors tab is setup to help you track any contributions from contacts who are involved with this job from another angle: they might be a third-party who has some work to add to the job, or a legal executive required to oversee some elements. Communications with them can be managed through the contributors interface. For further details on setting up and managing contributors, please refer to "Contributors" in the Admin section.
