If you're using Groupwise as a mail client, you can usually add some mail rules just from your desktop.

Within the Groupwise main window, click Tools from the grey menu at the top. A Rules window will open:

We need to setup at least two rules - one for incoming mail, and one for outgoing. Also, it can be desirable to use a rule to clean-up the forwarded items from your sent-items folder, since Groupwise likes to make copies of things there too.

Incoming Email

Once you've clicked New from the Rules window, you can enter some details for the new rule.

  • The Rule name is just for your reference.
  • New Item, and items are Received
  • Item types are Mail
  • Then you need to create the "action" which actually forwards the mail:
    • Click the Add Action button
    • Select Forward To
    • Enter your Affinity user address, which will be username@yourdomain.affinitylive.com. So, if your username is "tom", and the address you log into Affinity as is https://acme.affinitylive.com, then the email address is tom@acme.affinitylive.com.
  • Then click Save, and the rule will be turned on.

This rule tells Groupwise to forward any mail you receive to Affinity. If Affinity recognises the email address of the sender as being a client, it will record the email appropriately, otherwise the mail is ignored.

Outgoing Email

Back on the Rules window, click New:

  • Since this is about outgoing mail, give this rule a different name
  • When event is: New Item and items are Sent
  • Item types: Mail
  • Add Action > Forward To: log@yourdomain.affinitylive.com
    • NB: The email address you forward outgoing messages to is the same for everyone in your organisation; we can tell that you're the sender because it comes from your address.
  • Save

This process means any mail you send will be forwarded to AffinityLive, where a special process looks at the recipient and subject, and if recognised, will file the email appropriately.

Cleaning up

If Groupwise is keeping copies of the forwarded items in your sent folder, you can create another rule which says:

  • name - AffinityLive cleanup
  • When event is New Item and items are Sent
  • Item types: Mail
  • Define Conditions: Act on items where Item type is Mail and To contains 'affinitylive.com'
  • Then actions are > Delete/Decline & Empty Item

This ensures that those automatically forwarded mails don't fill up your Sent box.

And that's all you need to complete the email integration!
